Job Function/Requirements: 
  • Incumbent will provide administrative support for the President and the executive management of their assigned business departments which aid in achieving department specific objectives
Essential Job Duties: 
  • Maintain confidentiality while processing sensitive and confidential communications
  • Arrange complex and detailed travel plans and itineraries, compiles documents for travel-related meetings
  • Manage executive calendars and schedule appointments
  • Type, design, and create general correspondences, memos, charts, tables, graphs, presentations, etc.
  • Prepares agendas, notices and minutes as needed
  • Act as project manager for special projects
  • Builds and maintains databases as needed
  • Assists with research as requested, and with compiling research materials for distribution
  • Responsible for proper coding of departmental expenses. Review staff expense reports for accuracy and adherence to Company policy. Forward to President for approval. Complete expense reports and reconciliations for President
  • Track Staff PTO and approve time-off logs on behalf of the President
  • Assist HR with payroll responsibilities as needed
  • Assist HR with monthly benefit billing and reconciliation as needed
  • Position requires occasional lifting of 25#-40#
Nature and Scope: 
  • Sr. Administrative Assistant reports to the President
  • Tasks and status of projects are often confidential
  • Must have the ability to exercise independent judgment and discretion to make non-routine decisions within established guidelines, with minimal supervision
  • Must have a positive attitude, work well by self and in groups, be confidential and considerate, and enjoy working with a wide variety of people
  • Must understand and be able to work within regulatory guidelines as needed
  • Accountable for complying with the Boehringer-Ingelheim/Newport Business Code of Ethics to the highest standard
  • Accountable for complying with the Company Handbook, all policies set by the Company, and delegated authority
  • High School degree and 5 years related experience providing executive level support required Associates degree preferred with two years’ experience may be substituted
  • Advanced knowledge of Microsoft Office (Word, Excel and PowerPoint) and Outlook
  • Requires strong time management and the ability to meet tight deadlines in a fast-paced environment
  • Must be able to successfully complete multiple projects simultaneously
  • Must be self-motivated with excellent verbal/written communication skills and telephone skills required
  • Ability to understand business information for interaction with personnel in various departments who have high levels of responsibility as well as interaction with other outside operating units
  • Absolute dependability in terms of meeting deadlines and handling confidential information
